Job Title: Senior Intake Specialist

Reports to: Intake Supervisor

Hours: Full-time, hybrid office/remote

Pay: $19 - $23/hr depending on experience, non-exempt

ROLE OVERVIEW

For 37 years, Georgia Justice Project (GJP) has served Georgians impacted by the criminal legal system. GJP approaches social change in three ways: through legal and social services - including holistic criminal defense, early termination of probation, criminal record clearing, and other reentry legal services; by advocating for policy change in Georgia, resulting in 22 changes to Georgia law so far; and by educating officials and communities statewide on criminal justice and reentry issues. This work advance GJP’s goals of lowering the number of Georgians under correctional control, reducing barriers to reentry, improving public safety by addressing the underlying causes of crime, and challenging systemic racism as expressed through the criminal legal system. Our intake specialists play an essential role for the organization because they are often the first contact with the organization and set the tone for future interactions. This Senior Intake Specialist will have previous experience working in a client-facing environment and in a program support role and will serve as a primary contact with potential clients providing them with information on the process and coordinating their application materials, while working closely with the Intake Supervisor to ensure effective implementation of intake and Salesforce processes.

DUTIES AND RESPONSIBILITIES

All Intake Specialists will:

  • Assist with answering intake phone lines, return calls, and send applications
  • Schedule intake appointments and complete reminder calls
  • Maintain the receptionist desk, including greeting individuals that walk-in to apply for intake.
  • Communicate with potential clients via phone, email, and in person (reception desk).
  • Send notification letters to applicants
  • Enter client information into Salesforce
  • Request and Summarize GCICs for client files
  • Enter client information into Salesforce
  • Support Trainings, Outreach, and First Friday engagements: registration, event management, refreshment, av support, materials, etc.
  • Inventory, track and replenish intake materials

Records & Reentry Program Specific

  • Prepare Criminal Record Program files for attorney
  • Help close Criminal Record Program files for attorney
  • Assist with direct record clearing services for clients (e.g. pardons & restriction apps)
  • Support record events (which may require travel and/or weekend assistance)
  • Request dispositions from courts

Criminal Defense Specific

  • Run regular and ad hoc reports in Salesforce
  • Provide administrative assistance for Legal Services: case file copies, fee collection, file creation, record requests, etc.
  • Prepare Criminal Defense Program files for attorney
  • Help close Criminal Defense Program files for attorney
  • Assist with the intake process by doing initial interviews in local jails and the Metro Reentry Facility, a prison located in Atlanta.

PREFERRED BUT NOT REQUIRED

  • 2 Years of experience in administrative or program support
  • Interest in criminal justice and/or poverty issues
  • Undergraduate degree
  • A valid Driver’s License
  • Ability to work both in-office and remotely
  • Flexibility and willingness to work as a team member
  • Effective communication skills with fellow employees and clients - both written & oral
  • Ability to learn new skills and tasks quickly
  • Proficient with Windows, Word, and Excel
  • Familiarity with Salesforce

NOTES

  • GJP is open Mon-Fri 8:30am to 5:30pm. We are hybrid remote/in office. GJP Directors determine schedules based on programmatic needs and staffing requirements.
